General Terms and Conditions of Group Meetings

Dear customer,

In these terms and conditions, we have set out what your and our rights and obligations are. We work on a basis of trust, so the lawyer and we have kept it simple. 

If you're staying at 't Lennepserf and there is a problem you can't find anything about in these terms and conditions, please contact us. 

We will look for a solution together. 

 

When you see the following words in this text, this is what is formally meant by them:

a. Services: Anything we agree to together, such as renting out meeting and accommodation spaces, catering, or other things that you and we agree on.

b. Meeting and accommodation spaces: The spaces we make available according to our agreement.

c. Entrepreneur: That's us, Ecolodges 't Lennepserf V.O.F., your partner for business meetings.

d. Customer: This is you or the company that has an agreement with us.

e. Group: Everyone who uses the venue according to our agreement, including you, the customer, and your associates or participants.

f. Business relations: The people who are part of your group.

g. Reservation value: The total amount of our appointment, based on expected revenue excluding VAT and other costs.

h. Costs: Anything we have to pay to provide our services.

i. Information: All the information we give you about the use of our sites and the rules associated with them.

j. Wellness: The facilities you and your group can use to relax.

k. Website: Our site, www.lennepserf.nl.

l. Cancellation: When you or we let the other party know that (part of) the agreement will not take place.

These general conditions apply to all offers, quotations and agreements and other legal relations between 't Lennepserf and you as a legal entity. 

 

Article 2: Quotations and reservations

1. Our quotations are valid for 7 days.

2. Do you accept the quotation? Always do so digitally using Moneybird. After that, your reservation is locked in.

3. A reservation is binding.

4. Quotations are non-binding and prices are subject to change. If we let you know within a reasonable time that a price changes, the agreement is not yet final.

5. The prices on our site and in quotations do not include VAT and additional charges.

6. Do your wishes or circumstances turn out to be different from what was agreed? Then we will adjust the agreement together.

 

Article 3: What you can expect from us

1. We make our spaces and services available for business meetings, not for permanent occupancy.

2. You are responsible for providing information correctly.

3. You and your group follow the agreements and rules.

 

Article 4: What do our agreements mean?

1. Business use

Our services are for business purposes only, not for long-term residence or occupancy. You book for an agreed period and price.

2. Correct information

You are responsible for the accuracy and completeness of the information you provide to us.

3. Abide by the agreements

Your job is to ensure that you, your group, and business associates abide by the agreements, our terms, and the rules we have shared.

4. List of business relationships

We would like to know who is coming. To that end, would you please email a list of names to us at least 7 days before arrival? Are there any changes? Please let us know in advance.

 

Article 5: How long does our agreement last?

The agreement ends automatically after the agreed period. You don't have to make any cancellation for this.

 

Article 6: Prices and changes

1. Agreements on the price

The price is set based on our rates at the time.

2. Extra costs

If unexpected costs arise after the agreement is made (for example, due to new taxes or fees), we may pass them on, even if the agreement has already been made.

 

Article 7: Payment and billing

1. Pay on time

You must pay your invoice within 14 days of the invoice date.

2. Late payment interest

If you are late, we charge legal interest from the due date until you have paid everything.

3. No stay of payment

Do you object to the invoice? That doesn't mean you can wait to pay.

4. Late payment charges

Is your payment not on time? In that case, we will pay the costs to still get the money, and we will charge you for those costs.

5. Correct invoice information

Make sure you give us all the information we need in advance for an accurate invoice.

6. Pay directly

Pay directly to us at the account number listed on the invoice.

 

Article 8: Reservations and cancellations

1. Taking an option

You can take an option on our services. It remains valid for 7 days. Do you want some more time to think? Please contact us and we will see if we can extend the option.

2. Finalizing the reservation

A reservation is locked in once you have approved the quotation digitally.

3. Adjust number of people

You may reduce the number of persons by up to 50% up to 7 days before the arrival date at no additional cost.

4. Booking day parts

You can book a space for the whole day or by part of the day:

- Morning: 8:30 a.m. - 1:00 p.m.

- Afternoon: 1:00 p.m. - 5:00 p.m.

- Evening: 5 p.m. - 10 p.m.

Agree on extra time for preparation and cleanup. We charge for additional hours that are not coordinated in advance. 

5. Cancel

- Up to 30 days in advance: Free cancellation.

- 30 to 15 days in advance: 50% of the cost.

- 14 to 8 days in advance: 75% of the cost.

- Within 7 days: You pay 100%.

Cancellation in writing is required.

6. Cancellation of components or moves

Will you cancel a component (such as lunch) or move the agreement? In that case, the same conditions apply.

7. For multi-day bookings

Are you canceling a two-day or longer booking?

- Up to 30 days in advance: Free.

- 30 to 15 days in advance: 50% of the cost.

- Within 14 days: You pay 100%.

 

Article 9: Early departure

Are you leaving earlier than planned? You will still pay for the full period.

 

Article 10: Cancellation by us

1. Direct termination

We may terminate the appointment immediately if you or your group:

- Do not follow the rules or agreements, even after warnings.

- Cause a nuisance or fail to comply with the law.

- Use the spaces in a way they are not intended for.

2. Please leave quickly

If we terminate the agreement, you must leave the space within 4 hours.

3. Clearing and costs

Did you not leave on time? Then we will clear the space ourselves and charge you for the cost.

4. Full payment remains

Even after cancellation, you must pay the entire reservation value.

 

Article 11: Spaces and liability 

1. Access and responsibility

Our meeting and accommodation venues are accessible only to you and your business associates. You are responsible for your group and make sure everyone follows the rules.

2. Own risk

You enter our property at your own risk. We are not liable for loss, theft, or damage to items you bring with you.

3. No hazardous materials

Smoking and the use of hazardous materials such as fireworks or smoke machines are not permitted.

4. Respect for the environment

Please consider your neighbors and nature. Make sure you don't cause a nuisance.

5. Leaving the space tidy

We ask our guests to leave the space as you found it. Any damages or additional cleaning costs will be charged to you.

6. Prohibited activities

Digging, cutting down trees, or pruning bushes is not allowed.

 

Article 12: Property rules 

1. Bylaws

During your stay, our Property rules apply.

2. Departure time

Make sure the ecolodge is empty by 9:00 a.m. on the day of departure.

3. Silence between 10 p.m. and 7 a.m.

Please consider the night's rest. No noise, loud music, or motorized vehicles during this time.

4. Correct behavior

Behave yourself properly and avoid nuisance.

5. No parties

Parties are not allowed.

6. Pets

Pets are welcome only if agreed upon in advance.

7. Smoking ban

Smoking is not allowed inside.

8. Lighting fires

Fires are allowed only in designated areas.

9. Fine for violation

Not abiding by the property rules? It will cost you €300 per day.

10. Keys

Did you lose a key? You will pay €115. Keys may not be given to others and must be returned upon departure.

11. No public intoxication

Alcohol may be consumed only in designated areas.

 

Article 13: Liability

1. No liability

We are not responsible for accidents, theft or damage on our property.

2. Limitation of damages

If we do become liable, our compensation is a maximum of the reservation value.

3. Force majeure

We are not responsible for damages due to extreme weather conditions or other force majeure situations.

4. Own risk

Entering our property is entirely at your own risk.

5. Damage caused by customer group

You are fully liable for damages caused by you or your group.

 

Article 14: Force majeure

1. Dissolution in case of force majeure

In the event of force majeure, we may dissolve the agreement or suspend our obligations without compensation.

2. What constitutes force majeure?

Force majeure includes, among other things: government measures, pandemics, strikes, blockades, fire, floods, or technical failures.

 

Article 15: Complaints

1. Let us know immediately.

Check the room immediately upon arrival. Do you see something that is not right, such as damage or defects? Please report it immediately. Do you have any complaints during your stay? Let us know immediately.

2. Fast solution

We do our best to resolve complaints as quickly as possible so you can use the space and facilities properly.

3. Complaints after use

Do you have any complaints about our services after your stay? In that case, report them in writing within 7 days of departure.

4. What we do in the event of legitimate complaints

Is your complaint legitimate? If so, we offer you the possibility to use the reserved day part sessions at a later time.

5. No report by the deadline

If you do not report a complaint within the specified time, we will assume that the space was delivered in good condition and that our services were provided as agreed.

 

Article 16: Confidentiality

1. Confidentiality

We keep all information we receive about you and your company strictly confidential, both during and after our collaboration.

2. Respecting privacy

We treat your personal information and that of your business associates with respect. We use them only to provide the agreed upon services.

 

Article 17: Applicable law

1. Dutch law

Only Dutch law applies to our arrangements and agreements.

2. Competent judge

In case of disputes, we will take the matter to the courts in the location where our company is located. We reserve the right to take a dispute elsewhere if necessary.
